Finance Director


Status: Full-time; hourly

About VISTE:
The mission of VISTE is to enable frail elderly persons to live safe and independent in their own home.

Position Summary:
The Finance Director assures the operational effectiveness of VISTE by providing oversight of financial and business functions. This is done by maintaining the organizations financial records and supporting the President in achieving the goals of VISTE.

Position Eligibility:

  4. Strong financial management skills
  5. Willingness to work beyond standard hours, as needed for the efficient operation of the organization, and to meet the needs of the organization
  6. Working knowledge of and experience with Microsoft Office and QuickBooks
  7. An Associate Degree in Accounting (or related field) and two or more years of relevant experience, or an equivalent combination of education, training, and experience to provide the necessary knowledge, skills, and abilities necessary for success.

Position Duties:
In order to support VISTE in the mission of enabling frail elderly persons to live independently and safely in their own homes, the Finance Director will do the following.

  1. Administer and oversee financial tasks needed to assure the success of VISTE.
  2. Support the President of VISTE in assuring financial sustainability.
  3. Work closely and compatibly with employees, volunteers, board members, and community members to assure the success of VISTE.

Position Standards:
It will be known that the person holding this position is successfully completing duties and performing tasks when the following are accomplished.

  1. The budget is prepared and adhered to in order to maintain financial success, in accordance with the Board of Directors.
  2. Financial tasks are completed in accordance with deadlines and requirements.
  3. Administer all tasks related to the new hire processes, payroll, benefits, etc.

Position Tasks:

Finance

  1. Work with President and Board Treasurer to prepare budget.
  2. Prepare financial statements and submit to Board Treasurer for review.
  3. Monitor and administer financial activity, including journal entries, financial reporting, accounts payable, accounts receivable, reconciliations and budgeting.
  4. Authorize expenditures including office supplies and routine maintenance and repairs for office/warehouse facility and VISTE vehicles.
  5. Record and track all contributions and share information with appropriate staff for follow up.
  6. Assure that all required reporting and filing (local, state, federal, private) is completed in a timely manner.
  7. Prepare data needed for grant and funding applications and reports.

Operations

  1. Oversee the use of operation software, including financial, client, and donor management systems.

Human Resources

  1. Administer all required tasks related to staff changes.
  2. Prepare payroll (including verification of time sheets and employee benefits), and data entry into payroll processor.
  3. Assure that all benefits (Holidays, Vacation time, 403b, etc.) are distributed appropriately.

Hot Meals Coordinator


Status: Part-time; non-exempt
Reports To: Program Director
Direct Reports: none

About VISTE:
The mission of VISTE is to enable frail elderly persons to live independently and safely in their own home.

Position Summary:
The Hot Meals Coordinator is responsible for overseeing the distribution of prepared meals to VISTE clients two times each week.

Position Eligibility:

  1. Ability to communicate effectively
  2. Strong organizational skills
  3. Strong problem-solving skills
  4. Strong computer skills, including Microsoft Office Suite
  5. Willingness to work on tasks as assigned
  6. Willingness to work beyond standard hours, as needed
  7. Willingness to travel locally as assigned
  8. A high school diploma or GED, and three or more years of relevant experience, or an equivalent combination of education, training, and experience to provide the necessary knowledge, skills, and abilities necessary for success

General Performance Requirements:

  1. Core work hours are mornings (8:00am starting time), Monday – Thursday.
  2. Work environment is primarily indoors in both air conditioned and none-air-conditioned space.
  3. Must be physically capable of walking, being on your feet for extended periods of time, and regularly lifting items up to 20 pounds in weight.
  4. Must possess a valid Florida driver’s license and be able to drive a vehicle or VISTE van.

Position Duties:
To support VISTE in the mission of enabling frail elderly persons to live independently and safely in their own homes, the Hot Meals Coordinator will do the following.

  1. Coordinate the distribution of twice weekly hot meals, which are delivered by volunteers.
  2. Supervise and coordinate volunteers for all areas (kitchen, dish sanitation, goody bags, and delivery drivers).
  3. Communicate regularly with volunteers for all tasks.
  4. Assure that volunteer roles are assigned well in advance of the need.
  5. Use established resources to replace volunteers as needed.
  6. Work collaboratively with First Presbyterian Church, Florida Southern College Guest Services, and other VISTE staff members.

Position Standards:
It will be known that the person holding this position is successfully completing duties and performing tasks when the following are accomplished.

  1. All food is distributed to clients in a safe, timely, and courteous manner.
  2. 2. Volunteers are coordinated in order to carry out necessary tasks.
  3. 3. Volunteers feel appreciated and understand the significance of their role.

Position Tasks:

  1. Design and maintain routes for hot meal delivery.
  2. Adds new clients to program in a timely manner.
  3. Assure that all clients will have hot meals delivered during the promised time.
  4. Assure that volunteer routes are appropriate and are not too big or geographically dispersed.
  5. When necessary, determine substitute volunteer drivers, coordinating with the Volunteer & Events Manager and Program Director as needed.
  6. When necessary, assign substitute volunteers to routes.
  7. Create maps and directions for volunteers as needed.
  8. Update routes when client needs change.
  9. Work with Florida Southern College to determine menus.
  10. Report meal numbers to Florida Southern College in advance of food preparation.
  11. Maintain and promote the reusable container program and ensure all materials needed are transported to First Presbyterian Church.
  12. Ensure hot meal services are entered into agency software and database.
  13. Follow up with all volunteers and any concerns regarding clients.
